BOOKING CONDITIONS
Except otherwise expressly agreed, CIAO TRAVEL and its client and/or Agent agree that the terms and conditions for the services rendered by CIAO Travel to client, whether on an individual or a tour basic (or the “Services”) shall be governed by the Booking Conditions set out below and hat the said Booking Conditions shall form an entire part of services contract, whether verbal or written, enter into between CIAO Travel and Client/Agent:
VALIDITY
All prices quoted to Client/Agent are on the net basic and in United States dollar and valid according to the date specified on the CIAO tariffs/dictionary or quotation and/or invoice issued to Client/Agent. CIAO Travel warrants that the prices pr rate quoted to Client/Agent are correct at the time of insurance of the Client/Agent’s quotation and/or invoice but are subject to change in line with market, tax or currency fluctuation, with or without prior notice.
RESERVATION AND CONFIRMATION
Reservations are to be made to our office or to our General Sales Agent. Upon confirmation of a reservation, a 30% (thirty percent) deposit is requested, and the total package tour price for the services should be paid at least 30 days (thirty days) prior to client’s arrival in Vietnam or starting date of the tour, or otherwise CIAO Travel may at their sole discretion cancel the booking without any refund of sums already paid to CIAO Travel by the Client/Agent. CIAO Travel also reserves the right to change any arrangement (including tours, programmer, prices and services) in the best interest of its Client/Agent, with or without prior notice.
CHILD POLICY
Once or two children under 12 years of age accompanying both parents as airline passengers will be charged 75% of the adults fare. For tours, one or two children under 12 years of age sharing the room with parents will be charged 50% the adult tour price
VOUCHER
Voucher for booking arrangements and a copy of Client’s itinerary will be issued to the Client on arrival by an CIAO Travel representative.
PAYMENT
Except as otherwise agreed by CIAO Travel, Client’s payment shall be executed by cash, credit card. Except for cash payment, a service charge may apply. In cases where credit facilities have been agreed with the Client/Agent, payment shall be executed by swift or telegraphic transfer to the appropriate CIAO bank account. Any bank charges levied by the sending bank relating to transfer to CIAO must be paid by the Client/Agent.

CANCELLATION
Save for the case where a Client/Agent loses its deposit as mentioned above, charge for cancellation of bookings are not levied by CIAO Travel but if hotels, carriers, and other contractors apply charges for cancellation, the Client/Agent shall be liable to pay those charges to CIAO Travel or to the concerned parties directly as the case may be.
FIT CANCELLATION POLICY
The cancellation charges below refer to the non-transferable fee that is charge to clients who cancelled their tour.
- More than 30 days before departure: no cancellation charge
- Between 30 and 20 days before departure 10% of total tour cost
- Between 19 and 8days before departure 25% of total tour cost
- Between 7days and 48hours before departure 50% of total tour cost
- Less than 48 hours before departure 75% of total tour cost
- No-show at the airport on the day of departure 90% of total tour cost
Special conditions: Depending on airlines and cruises’ cancellation policies, the above conditions may be modified.
GIT CANCELLATION POLICY
1- Partial Cancellation of the group
‘ Partial cancellation’ occurs when less than 10% of the group’s member cancel their tour.
The cancellation charges below refer to the non-transferable fee that is charge to clients the group member who has cancelled their tour.
- More than 30 days before departure: no cancellation charge
- Between 30 and 20 days before departure 10% of total tour cost
- Between 19 and 8days before departure 25% of total tour cost
- Between 7days and 48hours before departure 50% of total tour cost
- Less than 48 hours before departure 75% of total tour cost
- No-show at the airport on the day of departure 90% of total tour cost
2- ‘Substantial cancellation’ occurs when 11% to 99% of the group members cancel their tour. Use the chart provided to determine the cancellation fees, based on the percentage of members who cancel and cancellation date in comparison to the scheduled and contracted departure date.

LIABILITY
CIAO Travel shall always do its utmost to provide the Services to the best of its capacity and upon the satisfaction of the Client. It is the understanding of the Parties that CIAO Travel acts as an intermediary between the Client/agent and airline, hotels, transport operators, local tourist offices and other contractors providing the Services to the Client. CIAO Travel shall in no event be liable to the Client/Agent, by reason of breach of services or unsatisfactory Services provided to the Client by third parties or by way of indemnity or in tort or otherwise, for any loss, injury, damage, delay, change in schedule or other adverse events which are beyond the control of CIAO Travel and/or sustained by an act or default of any person or company providing the services to client. The Client/Agent warrants that CIAO Travel shall not be responsible and/or liable for additional expenses and/or damages incurred due to any delay, accidents, natural disaster, political action or unrest.
CLAIMS
All disputes, claims and litigation regarding the services shall firstly settled by way of negotiation and muual understanding. In the even such negotiation and mutual understanding would be fail, the disputes, claims, litigation shall be settle by local arbitration in Vietnam. All claims must be submitted in writing within 30days after the end of services.
